Administrative Manager (Full-time, El Barrio Firehouse)

Manhattan Neighborhood Network's newly renovated state-of-the-art television production facility,  El Barrio Firehouse Community Media Center, opened in early 2012. Located in East Harlem, the El Barrio Firehouse is dedicated to training community producers in television, video, audio and other media; providing access to media production equipment; and assisting in production of programming that gives a voice to grassroots communities, ideas and concerns.

The MNN El Barrio Firehouse staff consists of a 12-person team working in a collaborative, high energy, and organized environment. MNN seeks a detail-oriented Administrative Manager to join the Firehouse team to assist with administration of the Firehouse, education enrollment and building relationships with the community. Working directly with the Firehouse Director, the position will assist with administration, educational services, special community events and communications.

Overall Responsibilities:

General Firehouse Administration

  • Supervise Firehouse Reception team.
  • Provide administrative support to the Director; organize and maintain electronic and paper files.
  • Assist Director with scheduling; maintain and update office calendar and database to coordinate workflow, meetings, events and productions.
  • Handle preparation for meetings, including logistics, supplies and documents as necessary. Prepare reports, memos, agendas, sum-up documents and meeting minutes.
  • Oversee purchase orders, invoices and vendor payments. Assist with financial monitoring and reporting as necessary, including petty cash supervision and reports.
  • Assist Director with event planning and serve as liaison with vendors.
  • Answer and screen Director’s telephone calls/voicemails; respond to requests and other inquiries.
  • Prepare reports, memos and other correspondence.
  • Facilitate communication and coordination with executive offices and departments at MNN's 59th Street facility.
  • Respond to requests for and schedule use of Firehouse conference room.
  • Other duties as assigned.

MNN Firehouse Media Education

  • Assist with all aspects of the MNN Firehouse media education programing, including but not limited to scheduling, planning, posting and facilitating MNN Firehouse classes, including Orientation.
  • Ensure that all MNN Firehouse education enrollees are properly entered into MNN database and that all enrollees are registered, placed, and tracked.
  • Ensure that all MNN Firehouse education curriculum, instructors handbooks, and other tools are appropriately maintained, filed, updated and available as needed.
  • Assist in the organization-wide development of MNN media education services, including curriculum.
  • Prepare course material for media education courses and assist in the evaluation of MNN Firehouse education programs as needed.
  • Manage and support part-time media education staff.
  • Update media education courses for instructors, students and staff as needed.
  • Assist in tracking community producer training in MNN database.
  • Prepare certificates and badges for new community producers.
  • Ensure that MNN database is updated with class participation and attendance for all MNN Firehouse classes.
  • Prepare and maintain class calendar.
  • Other duties as assigned.

Facilities Supervision

  • Supervise the Facilities Coordinator.
  • Ensure that needed repairs and facility improvements are scheduled and completed and ensure that core building functions, including elevator, HVAC, security, and safety equipment, are operating optimally and routinely and properly serviced and tested,
  • Supervise efficient and effective building maintenance, supplies, storage and services, including cleanliness.
  • Other duties as assigned.

Special Events and Programs

  • Assist in designing, planning and organizing special community events for the public.
  • Organize space layout, prepare materials, and arrange for equipment.
  • Order food, supplies and serve as liaison with vendors or event organizer as needed.
  • Manage event, and track event finances and reporting as needed.
  • Assist with outreach.

Communications

  • Work with Communications & Marketing Department to provide information about events and classes for the updating of social media sites, as necessary
  • Work with Communications & Marketing Department to develop a schedule of email communications to promote upcoming FH events and classes 
  • Monitor and assist with maintenance of Firehouse-related website posts. 
  • Assist with other Firehouse communications.
  • Other duties as assigned.

Required Education and Experience

  • Bachelor’s Degree. 
  • A minimum of five years' experience in office administrative management with a demonstrated high level of organizational skills.
  • A minimum of two years' experience in supervision.
  • At least one year of experience in events planning, coordination, and implementation.
  • Demonstrated computer skills including knowledge of the latest versions of Microsoft Office, mail merge, and email.
  • Working knowledge of social media tools and sites such as Facebook, YouTube and Twitter, and familiarity with database entry and email clients including MailChimp. Knowledge of website content management systems a plus.

  • Position requires some evening and weekend hours.
